Administrative Assistant for Mission Partnerships/Connectional Relationships/Assistant to the Bishop

The Western North Carolina Conference of the United Methodist Church is seeking candidates for the position of Administrative Assistant for Mission Partnerships and Connectional Relationships, with shared administrative support to the Assistant to the Bishop.     The shared focus of this position is to facilitate the work of the Conference Office through support in carrying out their varied ministry responsibilities so that local churches, pastors, and members have access to, and knowledge of, the available resources that assist them in making disciples and becoming vital congregations in their communities. This is a full-time, non-exempt position, located at the Conference Office location.

  • The ideal candidate will provide a significant amount of support in managing and processing all requests for payment and deposits for funds, event, and programs sponsored/supported/ overseen by Mission Partnerships and Connectional Relationships (includes requisitions and transfers)
  • Receive, deposit, and acknowledge all financial gifts to all missions (i.e. Project Agape, Disaster Response, Samaritan’s Clinic and others)
  • Record and track all Mission and Ministry grant requests
  • Administer the Mission and Ministry budget process (preparation, distribution, recording and accounting)

Support to the Assistant to the Bishop will include coordination of Cabinet meetings, providing administrative support to meetings held at the Conference Office and occasional off-site gatherings; maintaining calendar, composing routine letters and maintenance of church information in the Conference database, and other administrative support.

A demonstrated ability to maintain the highest standards of confidentiality and professionalism in all matters is required.  The candidate selected will exhibit excellent communication skills – written, verbal and listening – as well as a proficiency in Microsoft Office products, including Word, Excel, Outlook, Publisher and PowerPoint.   An Associate’s degree is preferred, with 5-7 years of progressively responsible administrative experience, with a demonstrated ability to work independently to organize, prioritize and execute responsibilities with minimal supervision.  Foundational traits include respect, cooperation and intentional honesty; ability to be open and flexible; and having a Servant’s heart and mind, accountable for work and actions in all things.

Staff Accounting Assistant

The Western North Carolina Conference of the United Methodist Church is seeking candidates for the position of Staff Accounting Assistant.     This position reports directly to the Controller, and would be located at 3400 Shamrock Drive, Charlotte, NC.    This is full-time, non-exempt position.

The purpose of this position is to provide general accounting support to the Conference Office.   Specific duties will include:  receiving mail and walk-in receipts for conference and district apportionment remittances, enter into the ARS (Apportionment Receipt System), print posting reports daily, complete deposit of all checks to the bank via remote deposit capture, enter and deposit pension and health benefit payments to appropriate accounts.  This position will also create general journals and post miscellaneous deposits to the general ledger, be responsible for integration of batch reporting from ARS into Microsoft Dynamics daily, and balancing of the same month-to-date and year-to date.  This position will also be available to assist with accounts payable and other functions of the Treasury Services Department.

A demonstrated ability to maintain the highest standards of confidentiality and professionalism in all matters is required.   Skills required include proficiency in Microsoft Office (Work, Excel, Access, etc.), Microsoft Dynamics Great Plains Accounting Software, ARS Church Accounting software, and knowledge of electronic banking procedures.  The candidate selected will exhibit proven attention to detail, excellent communication skills – written, verbal and listening.   An Associate’s Degree in Accounting is required, with 5-7 years of progressively responsible accounting/administrative experience is required.

Temporary Support Employee

The WNCC Conference office is seeking a temporary employee to provide support to The Conference Resource Center, which provides curriculum and resources to churches in our conference, and the front reception area.  It is anticipated this would be a 6 month position, full-time, 36 hours per week.

The purpose of the WNCC Resource Center is to make quality resources available for churches in our conference that will equip them for vital ministry in their community and around the world.  The ideal candidate would have a degree in Library Science, and/or experience in organizing a lending library, sourcing materials to keep the resources offered current and relevant.

Responsibilities would include searching for new and challenging resources- through catalogs, internet sites, blogs and recommendations from conference staff, pastors and leaders in our conference, maintaining library records through the Surpass Church Library system, recommending material to church leaders and teachers, and sending out material as needed.  The Surpass system involves entering materials borrowed/returned by churches and individuals, inventory control, assigning a barcode for materials, etc.  Experience with curriculum development and knowledge a plus.

This position also shares the responsibility for the Conference office reception area, answering phones, and greeting visitors for several hours each day.  The receptionist also rotates with other administrative staff in sorting and processing mail.

Staff Administrative Assistant/Payables Clerk

The Western North Carolina Conference of The United Methodist Church is seeking candidates for the position of Staff Administrative Assistant/Payables Clerk.     This position reports directly to the Controller, and would be located at 3400 Shamrock Drive, Charlotte, NC.    This is full-time, non-exempt position.

The purpose of this position is to greet visitors to the office, answering general phone calls, process all Treasury Services mail, and work with other conference staff on weekly rotation of all conference mail.  Specific duties will include:  arranging meetings for committees staffed by Treasury Services, maintaining office supplies, and serve as principal administrative support to the Conference Treasurer.   This position will also be responsible for receiving check requests, review and verify accuracy of information, enter invoices in accounts payable system, completing posting to the general ledger, and providing Controller with check/EFT posting registers for payments being processed.  Responsibility will also include reconciling of all general ledger accounts as related to Payables for each of the four funds, maintaining vendor files for updates to addresses, etc., and verifying completion of Form W-9 for new vendors, electronically filing the same.    (Full Job Description available upon request).

Systems Support Associate

The Western North Carolina Conference of The United Methodist Church has an immediate opening for a Systems Support Associate.   This position reports to the Director of Systems and Communications, and would be located at the Conference office on Shamrock Drive in Charlotte, NC.   This is a full-time, non-exempt position.

An ideal candidate would be able to quickly respond to conference and district users, identifying issues with hardware and software on desktops, laptops and mobile devices, and providing solutions necessary to keep systems running smoothly.  This position is also responsible for designing and conducting training programs as needed, reducing downtime and user impact by planning outages and updates during non-critical times, monitoring and maintaining backup power for servers and critical building information systems.   Other responsibilities include preparing for monthly cabinet meetings, Annual Conference, and serving as first contact for issues with telephones and copiers in the Conference office.

Educational requirements:  Minimum 2 year degree, with a concentration in Information Technology, 3-5 years support experience, and experience with Windows Server 2008 R2 and newer, VMWare ESXI, Windows 7 and newer, and firewalls required.

Database Support Associate

The Western North Carolina Conference of the United Methodist Church has an immediate opening for a Database Support Associate.   This position reports to the Director of Systems and Communications, and would be located at the Conference office on Shamrock Drive in Charlotte, NC.   This is a full-time, non-exempt position.

This position must learn complex relational databases in use by the Conference, have the ability to meet deadlines for data transitions, develop MS Access reports using SQL queries, write self-standing SQL queries, and manipulate data between MS Excel and MS Access.    Duties will also include monitoring budgets, processing check requests and other administrative functions within the department.

Educational requirements:  Minimum 4 year degree, with a concentration in Management Information Systems preferred, expert in MS Excel and Access, linking SQL server databases to MS Access, knowledge of statistical analyses, and ACH and EFT processes.  Experience with HTML, Coldfusion, or other development platforms a plus.   Knowledge of the United Methodist Church and its polity preferred.
